Most office moves are not only an office. There is usually a back room.
The room nobody walks into
When a business estimates its own move, it counts the desks. Then it looks at the stockroom from the doorway and calls it “the stock”.
That room is frequently the biggest part of the job. Not because there is anything difficult in it, but because a room full of boxes holds far more than a room full of furniture, and because nothing in it has been counted since it arrived.
If your premises has a back room, a stockroom, a workshop corner or a store, walk into it before anybody quotes. Ten minutes with a torch and a rough count of shelves is worth more than any description.
The same goes for whatever is under the stairs, behind the shutter, or in the unit next door that you also rent.
Run it down before you move
The most useful thing on this page, and the one that reduces the bill.
Stock is the only part of an office move you can genuinely shrink in advance. In the weeks before a move you can order less and sell more, and every box that goes out of the door as a sale is a box nobody has to carry.
It takes a little planning and it is worth it. Businesses that do this routinely arrive with a third less to move and a stockroom that starts tidy for once.
The corollary is worth saying too: the weeks before a move are the wrong time for a big delivery. If something large is due, ask whether it can land at the new address instead. Suppliers are usually more flexible about that than people expect.
Stock counts differently from furniture
Worth knowing because it changes what we need from you.
Furniture is counted in items. Stock is closer to volume and weight, and the two do not track each other. A pallet of light goods and a pallet of heavy ones look identical and are completely different jobs.
So the useful things to tell us are:
- Roughly how many shelves, racks or pallets, rather than how many products.
- Whether any of it is heavy for its size. Anything liquid, metal or in tins usually is.
- Whether any of it is fragile, and whether it is already packed for transport or sitting loose on a shelf.
- Whether it needs to be findable at the other end in a particular order, or whether it can simply arrive.
That last one matters more than people expect. Stock that has to be usable on Monday needs to go back in a sequence. Stock that just needs to be in the building does not, and that is a much quicker job.
Shelving and racking, before you assume
Two things to check rather than take for granted.
And whether anybody knows how. Some racking is designed to and some was assembled once by somebody who has since left.
A good deal of it is, and that changes whether it is coming at all.
It is also worth asking whether you want it. Racking suited to one room often does not suit another, and it is one of the more common things businesses decide to leave once they have measured the new space.
When there is more than an office to move
